Kenmore Envelope Company is a high end commercial printer that specializes in custom envelopes for the Direct Mail industry. Our clients include multiple Fortune 500 companies and agencies throughout the United States. The company has had aggressive growth over the past 10 years and has been in business since the late 1960s.
We are currently seeking an Executive Assistant to the CEO & COO at Kenmore Envelope. This role is crucial in helping the leadership team operate efficiently and effectively across a range of business and personal responsibilities. The ideal candidate is not only skilled in executive-level administrative support, but also comfortable managing sensitive communications, preparing reports, and ensuring high-level operational readiness.
qualifications and experience.
- 5+ years of experience supporting C-level executives or senior leadership.
- Exceptional organizations and time-management skills.
- Strong written and verbal communication abilities.
- High level of discretion and judgement.
- Comfortable managing both professional and light personal support tasks.
- Proficiency with Microsoft Office Suite, Google Workspace, and modern productivity tools.
- Experience with AMEX or other expense reporting platforms.
- Ability to work independently and anticipate executive needs.
responsibilities and duties.
These responsibilities include:
- Manage and coordinate complex calendars for the CEO and COO, including scheduling meetings, prioritizing requests, and resolving conflicts.
- Review, prioritize, and respond to emails on behalf of the executives, draft responses where appropriate.
- Prepare agendas, materials, and take detailed notes for executive meetings and follow up on action items.
- Handle light personal errand including grocery shopping and stocking office refrigerators or kitchen as needed.
- Assist with 1:1 meeting preparation with team members; ensures leaders are briefed with relevant context, updates, and supporting materials.
- Create and deliver recurring and ad hoc reports and summaries required by the COO.
- Perform and manage various administrative duties such as AMEX expense reporting, document preparation, and vendor communication.
- Serve as a communication liaison and gatekeeper, prioritizing inquiries and determining appropriate levels of response or delegation.
- Maintain the highest level of confidentiality and discretion while managing sensitive information and executive communications.
